Summary – New agent level reports – sample above. Help agents review their business mix. The report orders (Sort) by agent Name. The following describes how the summary reports are used at the Company, Office, and Agent level.
For each summary level there are eight types of reports to help owners, managers, administration, and agents assess the current and potential business mix as well as business cycles. Written Business – summarize the mix or current status of transactions written for any time period. Compare business written month to month. Pending Business Due to Close – summarize currently pending sales due to close for any future close period range. View mix due to close or view potential due to close thus far in future months. Business Due and Already Closed – summarize both pending business due to close and already closed business for a selected close time period. This summary is handy, for example, during a particular month when a whole month estimate is desired. Closed Business – summarize closed business mix for any time range or summarize the closed production by month for any time range. Cancelled Business – summarize business that was cancelled by sale type or by month. Closed Business by Property Type – how do your markets contribute to total production? Summarize closed sales by property type to view strengths in various markets. Closed Business by Buyer Source – Where is buyer side business coming from? Learn and compare the production levels from various buyer sources. Closed Business by Seller Source – Where is the list side business coming from? Learn and compare the production levels from various seller sources. The office level reports are used to summarize production by office. Using the office level “Written Business” as an example, the office level dialog is shown below:
If the company has multi-offices, and the user is a company level user, one or more or all offices can be selected for the summary. With office level each office is summarized by transaction type or by month and totaled. For an Office level user, the security system allows only their office to be summarized.
Above is an illustration of office level summary format where production is totaled by sale type and then by office.
Use the “By Month” option to compare business written levels month to month. Above illustrates the by month format and totals by office for all months.
Use the “by Status” to view the current status of business written for a particular time period. The report above shows how much written business is still pending and is already closed. When previewing a report summary, the underlying detail can be viewed using the “drill down” feature. For example, above, there are 5 written sales still pending in the North Office. Which 5 sales are they? Holding the cursor over the “Pending” line to obtain the magnifying glass do a double click.
The above detail drill down lists the 5 pending sales.
An entire report can also be viewed in detail by selecting that option under the “Report Type” group.
A detail by transaction type is illustrated above. For each transaction type, in this case written for each office, individual transactions are detailed showing the revenue, unit and volume contribution of each. For office level reports as shown above, totals for each office are provided. For company level reports, all or selected office production is combined for a company wide total. For agent level reports sales are totaled by type/month/status for each agent with agent final totals as well.
The NEW Company level summaries are used to view production of the entire firm or the combined production of selected offices.
The company-wide report dialogs are similar to the office level dialogs. They will summarize by transaction type, by month, by status, property type, buyer source, or by seller source the business company-wide.
Above illustrates a written business summary company-wide. Here all offices or selected offices business is always combined for a company total.
Agent level summaries have been added in REAL/Easy version 14.3 to assist owners and branch managers when tracking and assisting their agents.
Agent summary reports offer a number of options to help branch managers view agent production by transaction type, month, status, property type, buyer source, or seller source. The dialog above for agent written business offers many combinations to meet the needs of managers and agents. Note that summaries can be printed for all agents or just for selected agents.
Within each dialog, the operator can select which offices are of interest. For agent level reporting, the agent totals can be done based on two options: · The office written in – e.g. if OFFICE1 is selected, the agent’s production total will be that written in that office. This choice answers the question “how much business did the agent write for OFFICE1?”. · The agent’s current office – e.g. if OFFICE 1 is selected, agent’s assigned to OFFICE1 will have their production totaled no matter which office the sale was written/closed. This choice is helpful for managers who are helping or mentoring agents in their office and answers the question: “How much business was written by my agents for all offices combined?”.
For agent level summaries, all or only certain transaction types can be selected within the “Select Transaction Type” tab.
