Reports to Help with 1099 Processing and Throughout the Year

 The following pages illustrate the use of the reports to assist preparation for 1099 processing. Other reports also help by detailing all of the payments made during the year by printing a detailed check register by agent/payee that can accompany the 1099’s.

You will also find that many of the reports will be handy during the year to insure that data is being entered completely, and to provide your agents with monthly or more frequent details of all payments made to them.

 Edit Agent Data 1099 Report

 Use this report to edit your agent setup data prior to running your 1099’s. The report shows the key information that is required for each agent such as address and social security number.

The report can be run for all agents company wide (“Edit Agent Data 1099”) or for office staff to review and edit (use the “Office Edit Agent Data 1099” button).

The report will print information for all active agents/staff records. Inactive agents are also included, but only those terminated after the date you enter in the above report dialog.

 The office level report will also prompt for the Office ID if you are a company-wide user.

Above is a sample of a CompanyWide edit report of agent records.

 The IRS requires the social security number on the 1099. If the agent is reporting as a corporation, enter the federal identification number in this field on the agent screen.

 Included is the agent/staff type. Both Agent and Employee types are listed so that your staff just to verify that no agents are assigned the wrong type.

The “Indep Flag” is set for an agent record to indicate they are independent contractors. Make sure all agents who are to receive 1099’s are checked – “CK” in the report indicates this. If the record is not checked, this item will be blank on the report.

 The agent full address is printed on the 1099’s, so make sure this are complete.


Summary 1099 Amounts Report.

 This report will provide a handy summary of the 1099 amount reported for each agent. 

The report can be printed for the entire company (“Summary 1099 Amounts” , or by office ( use the “Office Summary 1099 Amounts” button).

Above is the dialog for the company wide 1099 amounts report. The date paid start and end are entered. The default date range will be the last full year.

 The agent amounts are totaled and printed in agent name order.

 If a total for just one agent is needed, the agent can be selected using the top “Agent” drop down.

Above is a sample of a company wide report. Besides totaling the agent’s 1099 earnings for the time period, the report also displays the agent’s social security number or if incorporated, the EIN, from their BOS agent record.

 If you are using the agent history entry feature to handle adjustments, these are totaled in the “Hist Adj” column and the new “Total for 1099” follows.

 The agent/staff type is also displayed so that your staff can see if any are incorrect and need to be changed.

Drill Down Available :

A handy drill-down report can be generated simply by double clicking over a previewed agent’s name. This drill down will detail all of the individual commission payments that make up the total 1099 earnings.


Detail check Register Report for Agents

 This is a staff time saver report that can be run for your agents to supplement their 1099’s. The report lists all checks issued to each agent and shows complete gross to net detail including all deductions. And, at the end of the list, the gross amounts, deductions by type (e.g. E & O), and net amounts are totaled. These totals can assist the agents with their tax return preparations.

 The report is also used throughout the year as needed by the staff. Many companies provide the agents with monthly reports thereby eliminating the need to look these details up if agents have to call.

The report can be run company-wide or for agents in a selected office.

The dialog above illustrates operation of the office level Detail Check Register. All or a single office can be selected. Next the check issued paid date range is entered. Default will be the last full year.

Above is a sample paid of the Detailed Check Register. The report is paged by agent and the pages are printed in agent name order.

 For each check issued, there is a detailed “section” showing each check number, date, property and award information followed on the right hand side by complete details of the check gross, bonus, detailed deductions, and the check net amount.

 At the end of the report is a summary showing totals for gross and net plus totals for each deduction type that occurred in all checks.
